ARUAR - Course Room Assignment

Purpose

The purpose of this screen is to assign a classroom or change a currently assigned classroom and to determine what classrooms are available.

Screen Functions

View an existing section

If the course schedule number is known:

  1. Enter S in ACTN
  2. Enter schedule number in SCHED NUM
  3. Press ENTER

If the course schedule number is not known:

  1. Enter S in ACTN
  2. Enter specific semester in SEM
  3. Enter course name/number at COURSE
  4. Enter specific section number at SECT
  5. Enter specific location at LOC
  6. Press ENTER

Schedule an unassigned course into a general purpose classroom

  1. View the existing section
  2. Tab to ACT field of unassigned meeting time
  3. Enter A in ACT field
  4. Enter desired search values:
    • building
    •seat type
    •tech code (ITEC/PTEC)
    •maximum of three room features
    •Press ENTER.
    •All available rooms that match the desired criteria will be listed in ascending order by room capacity.
    The list will include:
    •room capacity
    •utilization rate
    •technology category (ITEC/PTEC)
    •type of seats
    •first seven room feature values from facility record
  5. Use PF7 and PF8 to page up and down the list of available rooms
  6. To select a room for scheduling:
    •Tab to SEL field
    •Enter A for the room you wish to schedule
    •Press ENTER
    •PF12 to update
    •If the room meets the gpc scheduling priority criteria the room assignment will be displayed on screen ARUAC
    •If the room does not meet the gpc scheduling priority criteria the room cannot be assigned

Schedule an unassigned class into a department room

  1. View the existing section
  2. Tab to ACT field of unassigned meeting time
  3. Enter A in ACT field
  4. Change ROOM TYPE to S or X (check ARUXR)
  5. Enter the department in OVERRIDE DEPT field
  6. Enter desired search values:
    •building
    •seat type
    •maximum of three room features
  7. Press ENTER.
  8. All available rooms that match the desired criteria will be listed in ascending order by room capacity.
    The list will include:
    •room capacity
    •type of seats
    •first seven room feature values from facility record
  9. Use PF7 and PF8 to page up and down the list of available rooms.
  10. To select a room for scheduling:
    •Tab to SEL field
    •Enter A for the room you wish to schedule
    •Press ENTER
    •PF12 to update
    •The room assignment will be displayed on screen ARUAC

Change currently assigned general purpose classroom to different general purpose classroom

  1. View the existing section
  2. Tab to ACT field of assigned meeting time
  3. Enter C in ACT field
  4. User may change any or all search values:
    •building
    •seat type
    •tech code (ITEC/PTEC)
    •maximum of three room features
  5. Press ENTER
  6. All available rooms that match the desired criteria will be listed in ascending order by room capacity
    The list will include:
    •room capacity
    •utilization rate
    •technology category (ITEC/PTEC)
    •type of seats
    •first seven room feature values from facility record
  7. Use PF7 and PF8 to page up and down the list of available rooms
  8. To select a room for scheduling:

  3. Enter C in ACT field
  4. Change ROOM TYPE to S or X (check ARUXR)
  5. Enter the department in the OVERRIDE DEPT field
  6. User may change any or all search values:
    •building
    •seat type
    •maximum of three room features

  4. Enter the department in the OVERRIDE DEPT field

    •building
    •seat type
    •maximum of three room features
  6. Press ENTER
  7. All available rooms that match the desired criteria will be listed in ascending order by room capacity
    The list will include:
    •room capacity
    •type of seats
    •first seven room feature values from facility record
  8. Use PF7 and PF8 to page up and down the list of available rooms
  9. To select a room for scheduling:

    •building
    •seat type
    •tech code (ITEC/PTEC)
    •maximum of three room features
  6. Press ENTER
  7. All available rooms that match the desired criteria will be listed in ascending order by room capacity
    The list will include:
    •room capacity
    •utilization rate
    •technology category (ITEC/PTEC)
    •type of seats
    •first seven room feature values from facility record
  8. Use PF7 and PF8 to page up and down the list of available rooms
  9. To select a room for scheduling:
    •Tab to SEL field
    •Enter C for the room you wish to schedule

Change days/times of currently assigned room

  1. View the existing section
  2. Enter C in ACT field of assigned meeting time to be changed
  3. Enter new values in field(s) to be changed (DAYS/MEETING TIME)
  4. Tab to BUILDING field and delete existing values
  5. Enter the department in the OVERRIDE DEPT field if searching for a department room
  6. User may change any or all search values when searching for a gpc. The search values include:
    •building
    •seat type
    •tech code (ITEC/PTEC)
    •maximum of three room features
  7. Press ENTER.
  8. All available rooms that match the desired criteria will be listed in ascending order by room capacity
    The list will include:
    •room capacity
    •utilization rate (only if searching for a gpc)
    •technology category (ITEC/PTEC) (only if searching for a gpc)
    •type of seats
    •first seven room feature values from facility record
  9. Use PF7 and PF8 to page up and down the list of available rooms
  10. To select a room for scheduling:
    •Tab to SEL field
    •Enter C for the room you wish to schedule
    •Press ENTER
    •PF12 to update
    •If searching for a gpc room and the room meets the gpc scheduling priority criteria, the room assignment will be displayed on screen ARUAC. If the room does not meet the gpc scheduling priority criteria the room cannot be assigned.
    •To prevent an automatic email of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.

Schedule a room with fewer seats than course limit

  1. PF5 to ARUAC
  2. At ACTN, enter S
  3. Press ENTER
  4. At ACTN, enter C
  5. Tab to LIMIT field and enter new value
    •Must be equal to or greater than CURR enrollment
  6. PF12 to update
  7. PF5 to ARUAR
  8. Press ENTER
  9. Tab to ACT field of meeting time
  10. Enter A in ACT field if currently unassigned, OR
  11. Enter C in ACT field if currently assigned
  12. Enter desired search values:
    •room type
    •building
    •seat type
    •tech code (ITEC/PTEC)
    •maximum of three room features
  13. Press ENTER
  14. All available rooms that match the desired criteria will be listed in ascending order by room capacity
    The list will include:
    •Room capacity
    •utilization rate (if room type is G)
    •technology category (ITEC/PTEC)
    •type of seats
    •first seven room feature values from facility record
  15. Use PF7 and PF8 to page up and down the list of available rooms
  16. To select a room for scheduling:
    •Tab to SEL field
    •Enter A for the room you wish to schedule for the unassigned course, OR
    •Enter C for the room you wish to change to
    •Press ENTER
    •PF12 to update
    •If the room meets the gpc scheduling priority criteria the room assignment will be displayed on screen ARUAC
    •If the room does not meet the gpc scheduling priority criteria the room cannot be assigned

Delete currently assigned room/building

  1. View the existing section
  2. Tab to ACT field of assigned meeting time
  3. Enter D in ACT field
  4. Press ENTER
  5. PF12 to update
    Result:
    •room/building will be removed from screen ARUAC

Additional Field Level Detail

SEM

Semester you wish to assign (ex: FA2002)
Value will be pre-filled if toggling from screen ARUAC

COURSE There are two data elements in this section of the screen:
•Course abbreviation - Entry of a "?" will open a window of valid values.
•Course number - Data format = ###X
Value will be pre-filled if toggling from screen ARUAC.
SECTION

Specific section of a course (ex: ###)
Value will be pre-filled if toggling from screen ARUAC.

LOCATION

Used to determine which rooms are available (ex: XX or XX###)
•Continuing Education - Entry of a "?" in the XX field will open a window of valid campus codes (CCRSELOC).
•Resident Education - Entry of a "??" in the XX field will open a window of valid campus codes (CLOCN)
•Codeset CCSECLOC will determine which continuing education locations may schedule into resident education facilities.
Value will be pre-filled if toggling from screen ARUAC.

TITLE

Short title from the university course master (ARUCU).
Value will be pre-filled if toggling from screen ARUAC.

SCHED NUM

Unique number identifying a section for a specific semester/location.
Value will be pre-filled if toggling from screen ARUAC.

EMAIL INST
Indicator that determines if automatic email of change is mailed to instructor(s):
Y - Yes
N - No
Default - Y
EMAIL STUD
Indicator that determines if automatic email of change is mailed to registered students:
Y - Yes
N - No
Default - Y
ACT
User may only enter an action code on one line per transaction:
A - add a classroom
C - change a classroom
D - delete a classroom
S - skip to original record
DAYS
Indicates the day(s) when the course meets:
M-Monday
T-Tuesday
W-Wednesday
R-Thursday
F-Friday
S-Saturday
Y-Sunday
Value will be pre-filled if toggling from screen ARUAC.
MEETING TIME
BEG/END

Begin/end time for a period. Data format = ####A (a.m.) or ####P (p.m.)
Value will be pre-filled if toggling from screen ARUAC.

ROOM TYPE
Identifies type of room currently assigned or type of room to search:
G - General purpose classroom
S - Specialized classroom
X - Department room
ROOM Blank - no room currently assigned
Pre-filled - currently assigned room (validated against ARUXF)
BUILDING

Blank - no room currently assigned
Certain buildings may be listed without a room number (CNORMBLDG).
Pre-filled - currently assigned room/building (validated against ARUXF).
If adding or changing an existing room, user may manually enter specific building to search.
Entry of "?" will open a window of valid campus buildings (CBLDGLOC).
For courses meeting by APPT, room/building represent the department office address (CCRSEABB).

SEARCH CRITERIA
SEATS

Common meetings will be totaled to determine total seats.
Xlistings will be totaled to determine total seats.
Defaults to established enrollment for this section.
Number of seats used to calculate utilization percentage.

TYPE

Type of seating found in a room (ARUXF).
User may modify this field to seating type required.
Entry of "?" will open a window of valid seat types (CSEATTYP).

TECH

Code representing the type of technology found in a room (ARUXF).
Field will be pre-filled from data on ARUAC.
User may enter specific tech code if field is blank. (ITEC/PTEC)
Entry of "?" will open window of valid technology codes (CTECH).

ROOM FEATURES
 

To define distinctive qualities found in a classroom (ARUXF).
Optional field used to limit available room search.
Entry of "?" will open window of valid room features (CROOMCHC).

SEL
User may only enter an action code on one line (classroom) per transaction, must match ACT code:
A - add a classroom
C - change a classroom
ROOM/BUILDING List of available rooms that meet criteria, ranked by seating capacity (ARUXF).
RM CAP Seating capacity of classroom (ARUXF).
UTIL

Only displayed for general purpose classrooms
Rate is based on class limit versus room capacity.

TECH Only displayed if room has technology (CTECH) on ARUXF. (ITEC/PTEC)
TYPE Type of seating (CSEATTYPE) found in a room (ARUXF).
ROOM FEATURES

Displays first seven characteristics of a classroom (CROOMCHC) (ARUXF).

OVERRIDE DEPT

Entry of a valid code (CDEPT) allows user to search specialized rooms controlled by another department.
