ARUSBC/ARISBC - Change of Campus

Purpose

This screen is used to make a request for and make a decision for change of campus location assignments for undergraduate degree students. This is a two-step process that requires the sending college or campus to add the request to ARUSBC and the receiving college or campus to update ARUSBC with the decision. Authorized decision-makers are college dean representatives and campus registrars.

A Temporary Change of Campus Location is available for a one semester period, fall or spring semesters only. No additional change of campus location processing is required for a student on a Temporary Change of Campus Location, because the system will atuomatically return the student to their original campus location for the next future semester.

Screen Functions

View a change of campus request

  1. At ACTN, enter S
  2. At ID, enter student's identification number
  3. At SEM EFF, enter the semester you wish to view
  4. Press ENTER

Add a change of campus request

  1. At ACTN, enter S
  2. At ID, enter student's identification number
  3. At SEM EFF, enter the semester for which the request is being made
  4. Press ENTER
  5. At ACTN, enter A
  6. At REMAIN REQ, leave blank when ACTN = A
  7. At COA REQ, enter reason for request code
  8. At LOC REQ, enter campus location requested
  9. At TEMP COA (field default is N) enter Y if location is a temporary campus location for one semester
  10. At MAJR OVR, enter Y if major is not authorized for the requested campus
  11. At REASON FOR CHANGE OF CAMPUS, enter a brief reason for the request (requestor UserID and date recommended)
  12. Press ENTER

Notes:

  • email is automatically sent to the administrator at the requested campus location indicating the request was made and is on ARUSBC awaiting a decision.
  • If the record is a temporary campus change, the email will indicate that on the request.

Approve a change of campus request

  1. At ACTN, enter S
  2. At ID, enter student's identification number
  3. At SEM EFF, enter the semester for which the request is being made
  4. Press ENTER
  5. At ACTN, enter C
  6. At APPR, enter A
  7. At ACTN DATE, new date will automatically be generated
  8. At REASON FOR CHANGE OF CAMPUS, enter a comment, if desired
  9. Press ENTER
  10. Press PF12

Notes:

  • System generates email to student if the request is approved.
  • email is automatically sent to the requesting administrator indicating the decision for the student was entered to ARUSBC.

Deny a change of campus request

  1. At ACTN, enter S
  2. At ID, enter student's identification number
  3. At SEM EFF, enter the semester for which the request is being made
  4. Press ENTER
  5. At ACTN, enter C
  6. At APPR, enter D
  7. At DENIAL REASON, enter denial code (or use PF5 for denial codes/reasons)
  8. At ACTN DATE, new date will automatically be generated
  9. At REASON FOR CHANGE OF CAMPUS, enter a comment, if desired
  10. Press ENTER
  11. Press PF12

Notes:

  • System generates email to student if the request is denied. The denial reason is included in this email.
  • email is automatically sent to the requesting administrator indicating the decision for the student was entered to ARUSBC.

Cancel a change of campus request (when AUTO field is blank)

  1. At ACTN, enter S
  2. At ID, enter student's identification number
  3. At SEM EFF, enter the semester for which the request was made
  4. Press ENTER
  5. At ACTN, enter C
  6. At APPR, enter C
  7. At ACTN DATE, new date will automatically be generated
  8. At REASON FOR CHANGE OF CAMPUS, enter a brief reason for the cancellation
  9. Press ENTER
  10. Press PF12

Notes:

  • If APPR is A or D then action is performed by the campus/college that approved the request.
  • If APPR is blank, then action is performed by campus/college that originated the request.

Cancel a change of campus request (when AUTO field is Y)

  1. At ACTN, enter S
  2. At ID, enter student's identification number
  3. At SEM EFF, enter the semester for which the request was made
  4. Press ENTER
  5. At ACTN, enter C
  6. At REMAIN REQUEST, enter Y
  7. At MAJOR OVR, enter Y (if needed)
  8. At APPR, enter C
  9. At ACTN DATE, new date will automatically be generated
  10. At REASON FOR CHANGE OF CAMPUS, enter a brief reason for the cancellation
  11. Press ENTER
  12. Press PF12

  • Action is performed by student's sending campus (i.e., campus where student is requesting to remain).

Indicator for an automatic change of campus:
Y - Automatic change of campus
Blank - Not an automatic change of campus
REMAIN REQ
Indicator for a request to remain at current campus after an automatic change has occurred (request to remain can be processed prior to and up through the first 10 days of classes for the semester):
Y - Yes (this is a temporary campus location)
Blank - No request
COA REQ
Identifies the reason for the request:
2 - Required courses not available
3 - Personal
4 - Financial
5 - Other
6 - Request to remain
LOC REQ Location requested (CLOCN)
TEMP COA
Indicates if the campus location will be a temporary location for one semester:
Y - Yes (temporary campus location)
N - No (permanent campus location - NOT a temporary location)
MAJR OVR
Indicator to override the edits on the major that prevent the change of campus:
Y - Override
Blank - No override
APPR
Indicator for the decision made:
A - Approved
D - Denied
P - Pending
C - Canceled
DENIAL REASON
Indicator for the decision made (CCHASRTP):
1 - You can continue to make academic progress at your current campus.
2 - You are not in an appropriate major for the requested campus because an additional change of campus will be required within a year. (not valid for a temporary campus change)
3 - The reason cited in your request is not appropriate for a change of campus.
4 - You do not have the prerequisites for the course(s) you indicated that you need to make academic progress.
5 - Other (type your own brief message)
