
ARUAC - Schedule Course Section
Purpose
This screen is used to create/update course offerings for a campus. All courses must be approved by the University Faculty Senate. The data recorded on this screen is ultimately published as the campus Schedule of Courses.

Create a new course/section with no common meeting
- At ACTN, enter A
- At SEM, enter the specific semester
- At COURSE, enter the course name and number to be created
- At SECT, enter the section number of the course to be created
- At LOC, enter a specific location
- At LIMIT, enter the established limit for the section
- At COURSE DATES, user must enter BEG/END dates when creating a SU course or a spring or fall course that does not meet the full 15 weeks.
- At MEETING TIME, enter at least one line of days and begin and
end time

Create a new course with multiple sections having a common meeting time
- At ACTN, enter A
- At SEM, enter the specific semester
- At COURSE, enter the course name and number to be created
- At SECT, enter the section number of the course to be created
- At LOC, enter a specific location
- At LIMIT, enter the established limit for the section
- At COURSE DATES, user must enter BEG/END dates when creating a SU course or a spring or fall course that does not meet the full 15 weeks
- At MEETING TIME:
•On first line, enter common meeting time and enter BASE in BASE SECT field
•On second line: either enter a second common meeting time and enter BASE in BASE SECT field OR
•Enter a practicum/lab or recitation time

Create a new course that is offered via Web
- At ACTN, enter A
- At SEM, enter the specific semester
- At COURSE, enter the course name and number to be created
- At SECT, enter the section number of the course to be created
- At LOC, enter a specific location
- At LIMIT, enter the established limit for the section
- At COURSE DATES, user must enter BEG/END dates when creating a SU course or a spring or fall course that does not meet the full 15 weeks
- At MEETING TIME, enter WEB in the DAYS field
- At eLEARNING, enter Y or N to indicate if the course is part of
the eLearning program

If schedule number is known:
- Enter S in ACTN
- Enter schedule number in SCHED NUM
- Press ENTER
If schedule number is not known:
- Enter S in ACTN
- Enter specific semester in SEM
- Enter course name/number in COURSE
- Enter specific section number in SECT
- Enter specific location in LOC
- Press ENTER
Renumber a section (prior to publication date only)
- View an existing section
- At ACTN, enter C
- At SECT, enter new number for section
- PF10
- Enter Y in RENUMBER field
- PF12 to update
Results:
•Section number will be changed on ARUAC and ARUXR
•Section number will be changed on companion courses if course is xlisted
•E-mail message automatically sent to companion departments if course is xlisted
Increase enrollment of a section
- View an existing section
- At ACTN, enter C
- Tab to ENROLLMENT LIMIT field and enter new limit
- PF12 to update. (If course is xlisted, all courses will be totaled to find new limit.)
- If assigned classroom will accommodate new limit, update completed
- If assigned classroom will not accommodate new limit, update not completed
- PF5 to screen ARUAR to determine if larger room is available
- If larger room is assigned using screen ARUAR, PF5 to screen ARUAC
- Increase limit
- PF12 to update
Decrease enrollment of a section
Prior to publication date, departments may use the following procedures to delete a course.After the publication date, departments must submit the electronic form - Decrease Drop Underenrollment Drop, to the college Resident Education Dean.
- View an existing section
- At ACTN, enter C
- Tab to ENROLLMENT LIMIT field and enter new limit
- PF12 to update. (Any 600-level or X94, X95, X96 course may be lowered
to zero.)
•If new limit is within the standard for course level, update completed
•If the new limit is less than 50% of the room capacity, a new classroom assignment will be required
•If new limit is below standard for course level, department will not be able to update record
Change begin/end dates of a section when a room is not currently assigned
- View an existing section
- At ACTN, enter C
- Tab to date field(s) to be changed
- Enter new date(s)
- PF12 to update
•If course is xlisted, companion departments will be automatically notified via e-mail of change.
•For UP course changes processed by Registrar personnel, the e-mail will show the userID of the person identified on screen AMME.
•Department and campus registrar personnel will not be able to change the end date of a course after the course begin date. Only UP registrar personnel will be able to modify the course end date, and a warning message about the potential impact on grade entry will be displayed before allowing the update.
•To prevent an automatic e-mail notice of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.
Change begin/end dates of a section when a room is currently assigned
- View an existing section
- At ACTN, enter C
- Tab to date field(s) to be changed
- Enter new date(s)
- Press ENTER
•If currently assigned room is available for new dates, room assignment for original dates will be deleted & room will be reassigned for new dates.
•If currently assigned room is not available, a new classroom assignment will be required. - PF5 to screen ARUAR to assign new room
•When update is complete, all registered students will automatically be notified via e-mail of change.
•If course is xlisted, companion departments will be automatically notified via e-mail of change.
•Department and campus registrar personnel will not be able to change the end date of a course after the course begin date. Only UP registrar personnel will be able to modify the course end date, and a warning message about the potential impact on grade entry will be displayed before allowing the update.
•To prevent an automatic e-mail notice of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.
Change credits of a section
Prior to publication date, departments may use the following procedures to change the credits of a course.After the publication date, departments must submit the electronic form - Other Change, for processing by the registrar's staff.
- View an existing section
- At ACTN, enter C
- At CREDITS MIN/MAX, enter new values
- PF12 to update
•If the new values correspond to the senate record, the record will be updated.
•If the new values do not correspond to the senate record, the record will not be updated.
•If course is xlisted, companion departments will be automatically notified via e-mail of change.
•Credit changes by UP registrar personnel will send an automatic e-mail notification to the department contact person listed on screen AMME notifying them to check/change the registrations of currently registered students. For all non-UP locations, the notice will be sent to the user making the change.
•To prevent an automatic e-mail notice of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.
Add/change/delete additional information for a section
- View an existing section
- At ACTN, enter C
- Tab to ADDITIONAL INFO field
- Enter/revise/delete free-form text and PF12 to update OR
- Enter "?" in the first position of the field to use the drop down box
- Press ENTER
- In the ITEM # field, enter the number for the selected/different value
- Press ENTER
- PF12 to update
Add/change/delete course characteristic(s) for a section
- View an existing section
- At ACTN, enter C
- Tab to COURSE CHAR field
- Enter/change/delete code(s) and PF12 to update OR
- Enter "?" in the first position of any of the seven available fields to use the drop down box
- Press ENTER
- In the ITEM # field, enter the number for the selected value
- Press ENTER
- Press PF12 to update
•User may select/enter a maximum of seven values
Change meeting days/times of a section when a room is not currently assigned
- View an existing section
- At ACTN, enter C
- Tab to DAYS/MEETING TIME fields
- Enter new days/times
•Days do not need to be entered in position with spaces.
•If WEB is enered as DAYS, you must enter either Y or N in the eLearning field.
•Enter either a period number in the PD field or enter valid times in the BEG and END fields. - PF12 to update
•If course is xlisted, companion departments will be automatically notified via e-mail of change.
Change meeting days/times of a section when a room is currently assigned
- View an existing section
- PF5 to screen ARUAR
- Press ENTER
- Enter C in ACT field of assigned meeting time to be changed
- Enter new meeting days/times and delete existing building to search for
all available rooms
•Days do not need to be entered in position with spaces.
•Enter either a period number in the PD field or enter valid times in the BEG and END fields. - Press ENTER
- A list of available rooms that meet the search criteria will be displayed
- Enter C in SEL field of desired room and PF12
- Result:
•ARUAC will reflect new meeting days/times/rooms
•Previous room assignment will be deleted and new room will be assigned
•For UP course changes processed by Registrar personnel, the e-mail will show the userID of the peson identified on screen AMME.
•If course is xlisted, companion departments will be automatically notified via e-mail of change
•If it is not possible to schedule selected room at this time, update will not be completed
•To prevent an automatic e-mail notice of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.
Change meeting days of a section from APPT to assigned time
- View an existing section
- At ACTN, enter C
- Tab to DAYS field.
- Enter new days
•Days do not need to be entered in position with spaces.
•Enter either a period number in the PD Field, or enter valid times in the BEG and END fields. - PF12 to update
Result:
•Room and building will be automatically deleted from screen
•If course is xlisted, companion departments will be automatically notified via e-mail of change
Add/change/delete technology for a section
- View an existing section
- At ACTN, enter C
- Tab to TECH field
- Enter/change/delete a valid code and PF12 to update OR
- Enter "?" in the first position of the field to use the drop down box
- Press ENTER
- In the ITEM # field, enter the number for the selected value
- Press ENTER
- Press PF12 to update
•When deleting technology, if current date is prior to standard sequence GPC scheduling priority date, room assignment will be deleted.
•When adding/changing technology, if assigned room does not meet technology code requirements, field will not be updated. PF5 to screen ARUAR to determine if room with required technology is available.
Delete/cancel an existing section
Prior to publication date, departments may use the following procedures to delete a course.After the publication date, departments must submit the electronic form - Decrease Drop Underenrollment Drop, for processing by the registrar's staff.
- View an existing section
- At ACTN, enter D
- PF12 to update
Result:
•Assigned room(s) will be released
•If the course is xlisted, companion departments will automatically be notified via e-mail.
•To prevent an automatic e-mail notice of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.
Delete/cancel the base section of a course
Prior to publication date, departments may use the following procedures to delete a course.After the publication date, departments must submit the electronic form - Decrease Drop Underenrollment Drop for processing by the registrar's staff.
- View the existing base section
- PF5 to screen ARUAR. Press ENTER
- Tab to ACT field of common meeting time
- Enter D in ACT field
- Press ENTER
- PF2 to Update
- PF5 to screen ARUAC
- At ACTN, enter S and tab to the SECT field
- Enter number of section that will become new base section
- Press ENTER
- At ACTN, enter C
- Tab to BASE SECT field and replace section number with BASE
- PF12 to update
- For each section that meets with the new base:
- At ACTN, enter S
- Tab to the SECT field and enter a section number that needs to have the BASE SECT field information changed
- Press ENTER
- At ACTN, enter C
- Tab to the BASE SECT field and replace the existing base section number with the section number of the new base
- PF12 to update
- Repeat steps 15-20 for each section that meets with the new base
When all sections have been changed: - At ACTN, enter S for original base section
- At ACTN, enter D
- 12 to update
- At ACTN, enter S for new base section
- PF5 to ARUAR to assign new base into room
- Press ENTER
- Tab to ACT field of common meeting time
- Enter A in ACT field
- Press ENTER
- To select a room for the new common lecture:
- Tab to SEL field. Enter A for the room you wish to schedule
- Press ENTER
- PF12 to update
Result:
•Course listing on ARUXR will reflect new base section number
•To prevent an automatic e-mail notice of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.
Delete/cancel all sections of a course with a common meeting
- Prior to publication date, departments may use the following procedures
to delete a course
After the publication date, departments must submit the electronic form - Decrease Drop Underenrollment Drop, for processing by the registrar's staff. - View the existing second section of the course
- At ACTN, enter D
- PF12 to update
- At ACTN, enter S
- Follow steps 2-4 for all remaining sections in the common grouping
- When all other sections of the grouping have been deleted/canceled, follow
steps 2-4 for the base section
Result:
•Assigned room(s) will be released
•If course is xlisted, companion departments will be automatically notified via e-mail
•To prevent an automatic e-mail notice of this change from being sent to instructor (INST) or students (STUD), change the Y indicator to N.

If active companion course exists, room will be reassigned to active course, or next active course in the case of multiple xlistings.
